RECEPTIONIST/OFFICE SECRETARY 

JOB TITLE: RECEPTIONIST

SUMMARY:

The Receptionist serves as the first point of contact for visitors and clients at the Solomon Islands Football Federation (SIFF). This role involves managing the front desk, handling incoming calls, and performing various administrative tasks to ensure smooth office operations.

  • Reports To: Office Manager or Administrative Manager

KEY RESPONSIBILITIES:

  1. Front Desk Management:
  2. Greet and welcome visitors in a professional and courteous manner.
  3. Direct visitors to the appropriate person or department.
  4. Manage the visitor log and issue visitor badges if required.
  5. Communication:
  6. Answer and route incoming phone calls to the appropriate staff or department.
  7. Handle and relay messages accurately and promptly.
  8. Maintain effective communication with internal staff and parties and external clients.
  9. Administrative Support:
  10. Perform general office duties such as filing, photocopying, and faxing.
  11. Assist with scheduling appointments and meetings.
  12. Order and manage office supplies and maintain inventory.
  13. Customer Service:
  14. Address and resolve visitor inquiries and concerns.
  15. Provide information about the company and its services as needed.
  16. Ensure a high level of customer satisfaction through professional interaction.
  17. Record Keeping:
  18. Maintain accurate records of office activities and correspondence.
  19. Handle incoming and outgoing mail and packages.
  20. Filing activities
  21. Security:
  22. Monitor security cameras and ensure that all security protocols are followed.
  23. Report any suspicious activity or incidents to the appropriate authorities.
  24. Meetings/Conferences
  25. Preparing meeting rooms
  26. Recoding minutes of meetings
  27. Booking accommodation for meeting participants
  • Scheduling
  • Keeping record of hiring/usage programme for SIFF facilities
  • Scheduling for meetings
  • Finance
  • Receiving minor payments on behalf of the finance department

QUALIFICATIONS:

  • Certification in secretarial or other roles within the field of management and administration from a recognised institution.
  • Proven experience as a receptionist, front office representative, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and full familiarity with Windows Operating System.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Professional appearance and demeanour.
  • Ability to handle sensitive information with discretion.

WORKING CONDITIONS:

  • Office environment with standard working hours; flexibility may be required.
  • Occasional lifting of office supplies or equipment.
